Reporting to the Vice President of Human Resources, the HR Assistant will act as front line response for all HR and payroll related requests, all onboarding and offboarding for East Coast and European offices as well as provide administrative and operational support to the Human Resources Department. The ability to multi-task, prioritize multiple high urgency tasks, and pay attention to detail while managing administrative support is essential in this position. The ideal candidate for this job is proactive, resourceful, a good problem solver and very organized. Assuring a steady completion of work in a timely manner is key to success in this position.


  • Respond to all employee benefits questions
  • Responsible for medical insurance administration
  • Prepare reports on various HR metrics on a regular and ad hoc basis; create data visualizations to make complex data easier to understand; report polished presentation materials to leadership audiences
  • Act as a liaison to the Payroll Department by:
    • Conducting thorough payroll reviews
    • Responding to employee questions and concerns
    • Distributing payroll checks when needed
    • Tax set-up and entry into payroll
    • Ensuring accuracy of all information entered into the payroll system and output
    • Handling garnishments (i.e. child support)
    • Entering new hire information and employee changes in ADP
    • Reporting
  • Create and accurately maintain/update all full time and temporary internal employee files
  • Coordinate logistics for HR sponsored meetings and programs such as events focused on employee recognition, Health Fairs, flu shots, wellness seminars, service awards, etc.
  • Coordinate, facilitate, and conduct HR programs such new hire orientations for East Coast and EU new hires
  • Once Talent Acquisition sends calendar invites for temporary and full time new hires and terminations for East Coast and EU offices, the HR Assistant is to:
    • Handle all onboarding processes including but not limited to: maintaining new hire trackers, checklists, and folders, administering and verifying paperwork, benefits administration, payroll set up, IT set up, ensuring desk is clean for new hire, communicating start details on the Wednesday before start date, scheduling ad conducting new hire orientations, coordinating compliance trainings, etc.
    • Be responsible for the termination of all East Coast and EU employees: IT tickets, compliance and payroll notifications, checklists, trackers, and the like
    • Ensure timely review and submission of timesheets for temporary employees on the East Coast and in EU
    • Process all agency invoices for East Coast and EU employees; send invoices to AP for payment; respond to all related inquiries
  • Oversee annual performance reviews; ensure all managers complete and conduct performance reviews and collect results


  • 2-4 years of HR Assistant/Coordinator experience in a large corporate enviornment
  • Strong Excel experience inclduing Pivot Tables and VLookups
  • Hands-on experience with ADP
  • Experience on and offboarding
  • Experience reviewing payroll is a plus
  • Experience overseeing performance reviews is a plus
